Privacy Policy
How Synapse handles your account, your meeting notes and what we learn from them. In plain language.
- Your meeting content is yours. We process it only to provide Synapse to you.
- Private by default. Nobody else sees your workspaces unless you invite them.
- We don't sell your data and we don't use your content to train AI models.
- You can export or delete your data at any time by contacting us.
1. Who we are
Synapse is provided by Challenge Solved AB (559606-8634), Kläppestigen 17, 436 51 Hovås, Sweden ("we", "us"). We are the data controller for your account information. For the meeting content you add, we act on your behalf to provide the service. Questions about privacy: privacy@challengesolved.ai.
2. What we collect
- Account details: your name, email address and an encrypted (hashed) password.
- Content you add: meeting notes, transcripts, files and emails you send in or that arrive from a notetaker you connect (such as Fireflies or Otter), plus everything Synapse creates from them: decisions, action items, knowledge base articles, follow-up drafts and briefings.
- Meetings your notetaker records: if you send the Synapse notetaker to a meeting (yourself, or from your calendar), it joins under the name you choose, posts a message in the meeting chat saying it is recording, and records the conversation to make a transcript with who said what. We keep the transcript; the audio and video are deleted from our recording provider as soon as the transcript is saved.
- Your calendar: if you connect it, we read upcoming meetings (title, time, meeting link and whether you accepted) to remind you and to send your notetaker. We only read; we never change your calendar.
- People in your meetings: names and email addresses of participants that appear in your notes or notetaker data.
- Billing details: if you subscribe, payment is handled by Stripe. We receive your subscription status and a customer reference, never your full card number.
- Usage and technical data: log-in times, pages used, errors and similar data needed to run and improve the service.
3. How we use it
- To provide Synapse: analyse your notes, build your knowledge base, draft follow-ups and send the emails you ask for (contract).
- To send service emails, such as your welcome email, password resets and Monday briefings (contract).
- To handle subscriptions and invoices (contract and legal obligations).
- To keep Synapse secure and reliable, and to understand which features are used (legitimate interest).
We do not sell your personal data and we do not use your meeting content for advertising.
4. AI processing
Synapse uses AI models from Anthropic to read your notes and produce results. Your content is sent to Anthropic's API only to generate those results for you. Under Anthropic's commercial terms, content sent through the API is not used to train their models. We do not use your content to train AI models either. AI output can be wrong, so please review it before acting on it or sending it to others.
5. Who we share data with
We use a small number of service providers ("processors") who handle data on our behalf, under contracts that protect it:
| Provider | What for |
|---|---|
| Anthropic | AI analysis of your meeting content |
| Recall.ai (EU, Frankfurt) | The notetaker: joining online meetings you send it to, recording and transcribing them |
| Resend | Sending emails (welcome, password reset, follow-ups you send, briefings) |
| Stripe | Payments and subscriptions |
| Our hosting provider | Running the servers and database where Synapse stores your data |
| Fireflies, Otter or others you connect | Only if you connect them, to fetch your own meetings |
Recording others: when you send your notetaker to a meeting, you are responsible for telling the other participants and having a lawful basis to record them. The notetaker announces itself in the meeting chat, and anyone can ask you to remove it.
People you invite to a workspace can see that workspace. Follow-up emails go to the recipients you choose. We may disclose data if the law requires it.
6. International transfers
Some providers, such as Anthropic, Resend and Stripe, may process data outside the European Economic Area, including in the United States. Where they do, transfers are protected by safeguards recognised under EU law, such as the European Commission's Standard Contractual Clauses or the EU–US Data Privacy Framework.
7. How long we keep it
We keep your account and content for as long as your account is active. If you ask us to delete your account, we delete your content within 30 days, except for records we must keep by law (such as invoices). Backups are overwritten on a rolling basis.
8. Your rights
You can ask us to access, correct, export or delete your personal data, or to restrict or object to certain processing. Email privacy@challengesolved.ai and we'll respond within one month. You also have the right to complain to your data protection authority.
If someone else's meeting notes mention you and you have questions, please contact the Synapse user who shared the meeting, or us.
9. Security
Passwords are stored hashed, connections are encrypted (HTTPS), payment keys and other secrets are stored encrypted, and access to your workspaces is limited to you and the people you invite.
10. Cookies
Synapse uses only the cookies needed to keep you logged in and to remember small preferences in your browser. We don't use advertising cookies.
11. Changes
If we make important changes to this policy we will tell you by email or in Synapse before they apply.
